Planning Process
Whether we are preparing an annual proposal for you or just planning a single project, you will recognize recurring tools and planning stages when working with us that reflect the care and high standards that guarantee the quality of our work. This is how we operate:
- If you would like to get to know us, we will offer you a free presentation of our agency in your offices. You are also welcome to visit us and get an impression of our working environment.
- You define a communications objective, a time line and your available budget and provide us with additional information about your company during a briefing. If you prefer, agency presentation and briefing can be combined.
- We undertake additional research, analyse the communicative environment and current opinions and use them to develop a starting position. If necessary, a re-briefing can be scheduled.
- We develop a communications plan or a written exposé for a project and present it to you. Annual communications plans and exposés comprise:
- Situation / SWOT-Analysis
- Communications goals / Target groups
- Strategy
- Key messages
- PR measures
- Costs
- Time table
- Evaluation
- You commission the agreed PR measures and we begin implementing them. If a long-term co-operation on a contractual basis ensues, we will include an exclusivity clause in the contract.
- Depending on the scope and time line of a project, we liaise regularly with you in order to control the project’s status and progress.
- On the basis of our minutes, cost estimates and/or text- or layout-presentations, your authorized employees give the final go-ahead for the implementation of each single project step.
- Agency reimbursement is arranged as a flat rate for a single project or as a monthly retainer based on the actual time expended. Out-of-pockets are billed separately. A status report is available at any time.
- Evaluation of implemented measures can be effected with different methods that client and agency agree upon and modify according to individual requirements. The documentation of our efforts and your success is an integral part of good public relations.
